Constitution and Policy Committee Report
It’s time for another riveting report from the Constitution and Policy Committee!
The Committee’s work so far this year has been focused on achieving goals related to policy, rather than Constitution. Our success last year in bringing about Constitutional changes that allow YUSAPUY to more efficiently carry out its business has meant that in 2016 we have been able to turn our attention to internal policy and process that we hope will also bring about increased efficiency and transparency. (But stay tuned next year for further possible Constitutional changes!)
Our work this year has been related to three policy areas:
First, we have made what we hope are the final changes to a document that summarizes entitlements and processes related to the Full-Time Officers. This document, having been reviewed by the Executive Board, is currently being reviewed by our legal counsel and the Constitution and Policy Committee hopes this document will be adopted into our policy manual before the end of the year.
Secondly, we have been working to clarify language related to the responsibilities of Committees, and Committee Chairs and Co-Chairs, including documentation of election processes for Committee Chair positions to ensure a standard practice that is fair and transparent across all YUSAPUY Committees. This documentation will be presented to the Executive Board for their review at our next meeting. When it has been accepted by the Executive Board it will be adopted into our processes and our policy manual. We are hopeful this will be finalized and accepted before the end of the year.
Lastly, we have been working to streamline and clarify required forms and policy documents related to reimbursement of expenses for those individuals who travel on behalf of YUSAPUY or pay expenses on behalf of YUSAPUY for which they are reimbursed. The recommended updates to our current documentation are ready to be presented to the Executive Board for their review at the next meeting as well. When the updated documents have been accepted by the Executive Board they will be adopted into our processes and our policy manual. We are hopeful this will be finalized and accepted before the end of the year.
The Constitution and Policy Committee invites all YUSAPUY members to reach out to the members of the Committee if you have any suggestions, ideas or questions about constitutional or policy matters! We’re here for the membership, after all. With that, I’d like to close my report by thanking my fellow Committee members (Sonny Day and Stefanie Caputo) for their hard work and camaraderie as we worked together this year. They gave up countless lunch hours and personal time for us all to work on the policy documents under review. I also want to thank my fellow members of the Executive Board for their tenacity and diligence as we discussed and deliberated over policy related processes and documents. As always, it has been a pleasure to work alongside such dedicated and conscientious colleagues to facilitate changes that will make YUSAPUY even more transparent and efficient for the benefit of us all.
